Transforming LPG Operations with a Smart Digital System for Surya Auto LPG

What needed to change

Surya Auto LPG, a growing LPG service provider, was facing increasing operational challenges due to its reliance on manual processes and disconnected systems. Daily activities such as recording LPG transactions, tracking vehicle usage, and monitoring employee shifts were handled manually, leading to inefficiencies and delays. There was no centralized system to provide real-time visibility into operations. This made it difficult for management to track how much LPG was dispensed, which vehicles were consuming fuel, and how employees were performing during different shifts. As the business scaled, the lack of structured data made decision-making slower and less reliable. Manual data entry also increased the risk of human errors, inconsistencies, and potential misuse. Identifying irregular patterns or tracking accountability required significant effort and time. Additionally, there was no proper audit mechanism to monitor actions or verify transaction authenticity. Overall, the absence of a digital system limited transparency, reduced operational speed, and created dependency on manual supervision. Surya Auto LPG needed a solution that could streamline operations, improve accuracy, and provide complete visibility into their day-to-day activities.

How we approached it

To address these challenges, Gopafy developed a fully customized internal digital system tailored specifically for LPG operations. The solution was designed to simplify workflows, eliminate manual dependencies, and provide real-time insights across all operational levels. At the core of the system is a smart admin dashboard that offers complete visibility into LPG transactions, vehicle activity, employee performance, and shift-wise operations. With integrated analytics and visual dashboards, the management team can now monitor operations instantly and make data-driven decisions. A QR-based vehicle identification system was implemented to replace manual entry processes. Each vehicle is assigned a unique QR code, allowing employees to quickly scan and process transactions with accuracy and speed. This significantly reduced errors and improved operational efficiency. The system also includes employee and shift management features, enabling structured tracking of staff activity and accountability. Advanced monitoring mechanisms were introduced to detect over-limit refills, unusual patterns, and operational inconsistencies. Additionally, a public vehicle information page was developed to enhance transparency and allow verification of LPG-related data externally. The entire system is optimized for real-time usage, ensuring a seamless experience for both administrators and on-ground staff.
